By visiting our Website or obtaining any service or product through us, you agree to be legally bound by these Terms. We are A La Carte Travel Concierge (referred to in these Terms as “we,” “us,” or “our”). Our office address serves as an alternative means of contacting us, should you choose not to use the Website.
Carrying Identification
It is your responsibility—and that of each member of your travel group—to obtain and carry a valid passport, visa, and any other documents required by the government(s) of your travel destination(s).
- The U.S. government recommends carrying at least two forms of acceptable identification in order to board a flight. The Transportation Security Administration’s (TSA) current list of acceptable IDs can be found at: www.tsa.gov/traveler-information/acceptable-ids.
- The name, date of birth, and gender on your identification must match exactly with the information on your airline tickets and booking records.
- Some countries deny entry if your passport expires within six (6) months of your arrival date.
- Non–U.S. citizens may require additional documentation.
- Children and infants are not exempt from these requirements. If a child is traveling with only one parent or without both parents, official, verified consent documents may be required to enter certain countries. Without these, entry may be denied.
Identification & Travel Documentation Requirements
Any failure to comply with these requirements—or with additional requirements of each country—may result in you, your children, or other members of your travel party being:
- Denied boarding on a plane, ship, or other transportation.
- Delayed at security checkpoints or other travel gateways.
- Missing flights, connections, cruises, or tours.
- Denied entry into a country.

Entry and Exit Requirements
Every country enforces its own rules regarding travelers with past criminal offenses. These may include—but are not limited to—felonies, misdemeanors, DUI/DWI, or other seemingly minor infractions. If you have a past or current offense, regardless of how long ago it occurred, you must contact the relevant authorities of that country directly to confirm entry and exit requirements, even if you are only transiting.

Visas
- A La Carte Travel Concierge does not control the issuance of visas.
- You are solely responsible for ensuring:
- All required visas are obtained prior to travel.
- Visas cover the correct entry and exit dates.
- Personal details are accurate and match your passport.
- Your passport is valid for at least six (6) months beyond your final travel date.
- A visa does not guarantee entry; final admission decisions are made by immigration officials at your destination.
Refunds
Denial or delay of entry into, or through, any country—and/or refusal by a country to issue a visa—is not grounds for a refund of any portion of your trip.
Disclosure of Criminal History
Our staff may not inquire about your criminal history out of respect for your privacy. However, it is your responsibility to disclose any information relevant to travel restrictions. If you do not raise this subject, you remain solely responsible for being aware of and complying with all restrictions that may apply due to past criminal matters.
Safety
Personal safety is a concern everywhere—no location, even your home, is entirely risk-free. Some destinations carry greater safety risks than others. It is your responsibility to stay informed about the places you plan to visit by:
- Following current news reports.
- Reviewing travel warnings, prohibitions, and advisories issued by the U.S. Government, both before and after booking travel.
- Consulting official resources such as:
STEP Enrollment
We recommend enrolling in the U.S. Government’s free Smart Traveler Enrollment Program (STEP). This program allows U.S. citizens and nationals traveling abroad to register their trip with the nearest U.S. Embassy or Consulate. Benefits include:
- Receiving updates on local safety conditions.
- Allowing the U.S. Embassy to contact you in an emergency.
- Helping family and friends reach you in urgent situations.
Assumption of Risk
Travel involves inherent risks. By arranging or assisting in arranging travel to a particular destination, A La Carte Travel Concierge does not represent or warrant that travel to that location is advisable, safe, risk-free, or within your personal tolerance for risk.
The Agency and its personnel shall not be liable for any costs, damages, or losses—including, without limitation, those arising from personal injury, crime, delay, property loss, or death—that may occur during or as a result of travel. By booking with us, you acknowledge and accept, on behalf of yourself and all members of your group, all risks associated with your travel.
Authority and Responsibility
By booking travel with A La Carte Travel Concierge, you represent and warrant that:
- You are at least 18 years of age.
- You have full legal authority to enter into travel bookings with the Agency.
- You accept financial responsibility for all travel bookings made under your name or account, including use of your account by others (including minors).
Communications
You agree to monitor and supervise all communications with the Agency conducted by minors or others using your account. You further represent and warrant that all information provided by you or members of your household in connection with bookings is truthful, accurate, and complete.
Certain Reservations Are Prohibited
When making travel reservations through A La Carte Travel Concierge, you agree to make only legitimate reservations. You may not make, attempt to make, or encourage others to make:
- Speculative, false, or fraudulent bookings.
- Reservations made with intent to cancel after benefitting from a promotion.
- Reservations intended to profit from demand without the intent to actually travel.
Such prohibited activity may result in cancellation of your reservations and potential legal action.
Separate Terms
Separate supplier terms may apply to your reservations and purchases of travel-related services or merchandise. By booking with A La Carte Travel Concierge, you agree to abide by both the Agency’s Terms and the terms and conditions of any suppliers we work with on your behalf. This includes, without limitation:
- Payment of all amounts when due.
- Compliance with supplier rules and restrictions on fares, products, and services.
Violation of supplier terms may result in:
- Cancellation of reservations or purchases.
- Denial of access to flights, hotels, cruises, cars, or tours.
- Forfeiture of monies paid.
- Additional charges to your account for costs resulting from violations.
You are responsible for all charges, fees, duties, taxes, and assessments arising from bookings made through A La Carte Travel Concierge.
Booking on Third-Party Sites
You authorize A La Carte Travel Concierge to make bookings on third-party sites in order to fulfill your travel requests. By doing so, you ratify our actions on your behalf, including acceptance of third-party terms that may limit your rights, and you agree to be bound by such terms.
In the event of any inconsistency, conflict, or ambiguity, A La Carte Travel Concierge reserves the right to rely on the interpretation or choice of terms most favorable to the Agency.
Payment and Cancellation
Final Payment
Final payment deadlines are determined by each supplier (airlines, hotels, cruise lines, transfer companies, sightseeing operators, and other providers). If payment is not received by the required date, reservations may be canceled without notice and deposits forfeited.
Some suppliers specify that bookings are non-refundable once paid in full. Your ability to obtain a refund in the event of changes or cancellations is therefore limited.
Cancellations
- All cancellation requests must be submitted to the Agency in writing.
- Supplier and Agency cancellation fees may apply.
- Fees are usually outlined in your travel documentation, on our website, or on each supplier’s website.
- Cancellation charges will be billed to the credit card authorized for your booking or deducted from any applicable refund.
If you are unsure about cancellation fees, it is your responsibility to contact your Agency representative.
Air Travel and Transportation to/from Home
Unless specifically stated in writing, airline reservations are not included in your travel package. You are solely responsible for arranging:
- Air travel to your destination.
- Transportation to and from your home (or other origin/destination).
The Agency is not responsible for air or ground schedule changes.
Departure Taxes & Check-In
- In some countries, departure taxes must be paid in cash at the airport. These amounts vary by location.
- You must check in at least:
- 2 hours prior to domestic flights.
- 3 hours prior to international flights.
- You must reconfirm flight times at least:
- 24 hours before domestic departures.
- 72 hours before international departures.
Failure to use a reservation may result in automatic cancellation of all onward and return flights, with forfeiture of airfare.
Early/Late Booking
Booking early helps reduce the risk of:
- Limited or no availability.
- Incurring late booking fees.
You are responsible for determining the timing of your booking.
No Refund for Unused Arrangements
Unused portions of travel arrangements are non-refundable.
Some group tours require a minimum number of participants. If the required number is not met, a surcharge may apply or the tour may be canceled.
Currency Fluctuations
Prices are subject to change due to fluctuations in currency exchange rates. A La Carte Travel Concierge is not liable for price changes resulting from currency movements.
Changes to Confirmed Bookings
Changes to confirmed bookings cannot be guaranteed. If permitted, changes may result in additional charges. Please note: the possibility of additional charges does not guarantee the change can be made.
Health Documentation
You are responsible for:
- Obtaining and carrying all required documentation of immunizations prior to travel.
- Complying with government health and security requirements.
- Consulting with your healthcare provider regarding medications and inoculations before booking travel.
Required inoculations must be recorded by your healthcare professional on an official vaccination certificate, which you must carry as proof where required.
A La Carte Travel Concierge is not responsible for the accuracy of health requirements or vaccination/documentation rules prior to departure or upon arrival.
Pregnancy
Each airline and cruise line maintains its own policies regarding pregnant travelers. Many require a doctor’s note or other medical documentation beyond a certain stage of pregnancy, and some prohibit travel entirely after a specified point. A La Carte Travel Concierge does not set these policies. You are solely responsible for checking the requirements of the airline(s) and cruise line(s) you intend to use and for complying with those policies.

You are strongly encouraged to review government resources for up-to-date information on travel requirements, health, safety, and security conditions:

Issuer of Passport
If you are traveling on a passport issued by a country other than the United States, it is your responsibility to inform A La Carte Travel Concierge at the time of booking.
Prohibitions and Restrictions on Hazardous Materials
U.S. law and airline policy strictly prohibit transporting hazardous materials in luggage or on your person. Violations may result in imprisonment and substantial monetary penalties.
Examples of prohibited hazardous materials include (but are not limited to):
- Explosives, fireworks, flares, gunpowder.
- Compressed gases, propane, spray paint.
- Flammable liquids and solids (gasoline, lighter fluid, liquid bleach, sparklers).
- Poisons, corrosives, and radioactive materials.
Some items may be permitted in checked baggage but not in carry-on luggage. Small amounts of personal care liquids and medications (typically limited to 3.4 ounces or less) may be permitted in carry-on bags.
You are responsible for checking with your airline for specific rules and policies. Additional information is available at:
Insecticide Notice
International law permits certain countries to require airlines to apply insecticides inside aircraft cabins for public health, agricultural, or environmental reasons. This may involve:
- Spraying while passengers are onboard.
- Treating cabin surfaces with insecticides while passengers are not onboard.

E-Tickets
E-tickets typically expire one (1) year from the date of issue unless otherwise stated by the carrier in the passenger itinerary. Expired e-tickets are non-refundable.
Limitations of Responsibility and Disclosure
A La Carte Travel Concierge does not own, operate, or provide travel services directly. We act solely as a booking agent for independent suppliers, including but not limited to: cruise lines, airlines, air charter operators, hotels, bus companies, ground transportation providers, tour operators, and other contractors providing accommodations, transportation, and related services (“Suppliers”).
- Suppliers are independent entities with their own policies, management, and procedures. They are not subject to the Agency’s control.
- The Supplier identified in your travel documentation is responsible for providing the services purchased.
- Bookings are accepted by A La Carte Travel Concierge strictly as an agent of these Suppliers.
All transportation, accommodations, and services are provided subject to the terms and conditions contained in the tickets, vouchers, websites, or other documentation issued by the Supplier(s). By booking through us, you:
- Acknowledge that each Supplier has its own terms.
- Consent to the use of those Suppliers.
- Agree to comply with the terms and conditions of each Supplier.
Limitation and Disclaimer of Liability
Because A La Carte Travel Concierge acts solely as an agent for independent travel suppliers and does not control or have the right to control the operations of those suppliers, you agree that the Agency is not liable for any personal injury, property damage, loss, or other harm that may arise in connection with the services provided by such suppliers.
The Agency disclaims all liability, whether based in contract, tort, strict liability, or otherwise, including but not limited to:
- Direct, punitive, special, consequential, incidental, or indirect damages.
- Damages related to any act, error, omission, injury, loss, accident, delay, or irregularity.
- Failures, partial performance, or inadequate performance of services by suppliers or their employees, agents, contractors, or representatives.
This includes, without limitation, negligence, willful misconduct, or other actions outside of the Agency’s control.
By using our services, you waive, release, and discharge A La Carte Travel Concierge, along with its owners, directors, officers, employees, and contractors, from any liability arising out of the foregoing.
Americans with Disabilities Act
The Americans with Disabilities Act (“ADA”) applies within the United States, requiring certain accommodations for travelers with disabilities. However, service providers outside the U.S. may not comply with the ADA or with accessibility practices common in the United States. Facilities, infrastructure, and accessibility standards vary significantly around the world.
A La Carte Travel Concierge welcomes travelers with special needs and disabilities and strives to create enjoyable, memorable experiences for all clients. To best serve you, please note:
- Notification: At the time of booking, you must inform your Agency representative of any physical, medical, or other special needs that may require accommodation. If such needs arise after booking, notify us as soon as possible.
- Fitness for Travel: All guests must ensure they are medically and physically fit for travel. Tour providers may impose safety requirements or exclude individuals from participation if their participation poses a direct threat to health or safety.
- Personal Assistance: Tour and service providers generally do not provide personal devices (e.g., wheelchairs, scooters, hearing aids, eyeglasses) or personal assistance (e.g., pushing a wheelchair, assistance with eating, dressing, or toileting). Travelers requiring such support must be accompanied by a capable companion.
- Medical Needs: Many providers do not employ medical personnel. Any medical attention required must be obtained at local facilities, at your expense. Availability and quality of medical services may vary, and the Agency is not liable for outcomes or costs.
- Accessibility Limitations: Some tours and activities involve uneven terrain, cobblestone streets, stairs, and other features not suitable for wheelchairs or mobility devices. Accommodations, transportation, and facilities outside the United States may not provide the same level of accessibility as those within the United States.
Because travel involves services from independent carriers, hotels, and suppliers over which the Agency has no control, A La Carte Travel Concierge cannot guarantee disability access or accommodations outside the U.S.
Prices
A La Carte Travel Concierge seeks to honor prices originally quoted. However, prices may increase prior to full payment due to increased costs in one or more components of travel.
- For U.S. air transactions or air tours (in, to, or from the U.S.), prices may increase prior to full payment due to seat charges, baggage fees, fuel surcharges, or increases in government-imposed taxes or fees.
- U.S. air transactions or air tours will not increase after full payment has been made, except for new or increased government-imposed taxes or fees.
- Some suppliers reserve the right to increase prices to cover fuel surcharges, tariffs, taxes, and changes in currency exchange rates.
By booking through the Agency, you acknowledge and accept these conditions. You expressly authorize A La Carte Travel Concierge to charge your credit card for such additional amounts. This consent applies to all travel arranged by the Agency for you and your group.
Weather
Weather conditions are outside of the Agency’s control and cannot be guaranteed. Desired conditions (such as sunshine, snow, or mild temperatures) or undesired conditions (such as rain, wind, volcanic activity, or natural disasters) may or may not occur.
Suppliers and insurance companies may classify certain events (e.g., volcanic eruptions, ash clouds, windstorms) as adverse weather conditions or natural disasters. A La Carte Travel Concierge and its suppliers reserve the right to adjust, modify, or cancel itineraries as deemed necessary. The Agency is not responsible for airline, cruise, or ground schedule changes or cancellations caused by weather.
Force Majeure
A La Carte Travel Concierge shall not be deemed in breach of these Terms and Conditions, nor held liable for any delay or failure in performance, when such delay or failure is caused by circumstances beyond its reasonable control, including but not limited to:
- Acts of God (floods, storms, fire, earthquake, volcanic activity, or other natural disasters)
- War (declared or undeclared), terrorism, sabotage, riot, civil unrest, insurrection, or embargo
- Labor strikes, shortages, or disputes
- Government actions, changes in law, or quarantine requirements
- Epidemics, pandemics, sickness, or disease outbreaks
- Crime patterns in affected areas
- Defects or failures in machinery, vehicles, or equipment
- Wildlife interference
- Any other event or circumstance beyond the Agency’s control (“Force Majeure”).
In such cases, the Agency or its suppliers may, at their sole discretion, vary, modify, or cancel any itinerary or arrangement. A La Carte Travel Concierge has no obligation to make any refund, whether full or partial. Any voluntary refund or accommodation provided is at the sole discretion of the Agency.
Changes in Travel Plans
Itineraries may be changed by the Agency or its suppliers for reasons including, but not limited to, weather or other Force Majeure events. Changes may include substitution of reasonably comparable properties, suppliers, activities, or destinations.
Travel Insurance
A La Carte Travel Concierge makes available access to optional products and services designed to reduce the risks of financial loss related to travel. These include, but are not limited to, travel insurance.
Travel insurance may provide protection in the event of:
- Supplier default or bankruptcy
- Delay, missed connections, interruption, or cancellation
- Medical emergencies, evacuation, illness, or accidents
- Lost baggage and personal effects
- Job loss or change of plans
- Accidental death or disability
Unless specifically stated, travel insurance is not included in your itinerary price. You acknowledge that neither the Agency nor suppliers provide refunds if you cancel or interrupt your travel for any reason. Supplier and Agency cancellation penalties will apply, potentially up to the full cost of your booking.
Purchase of travel insurance is optional but strongly recommended. Agency personnel are not authorized to provide technical details, interpret coverage, or evaluate adequacy of any policy. Additional charges apply for travel insurance.
LIMIT OF LIABILITY
AGENCY RECEIVES ONLY OR MAINLY COMMISSIONS AND FEES FOR TRAVEL TRANSACTIONS. YOU AGREE THAT ANY LIABILITY AND RECOVERY FROM Agency WILL BE LIMITED TO AND IN NO EVENT EXCEED COMMISSIONS AND FEES PAID BY YOU AND ACTUALLY RECEIVED BY Agency IN THE TWELVE (12) MONTHS PRIOR TO THE ACTION GIVING RISE TO THE LIABILITY.
Photos/Video
Agency reserves the right to make any use whatsoever of photos and videos that include you and/or your group, made at any event or travel activity, without compensation. You are deemed to consent to appearance of you and members of your group in the photo and/or video and use thereof by Agency. Uses may include but are not limited to brochures, invitations, books, newspapers, magazines, television, websites, videos, documentaries, and any other forms of advertising, marketing, publicity, reporting and literature. Any person desiring not to have their photo or video taken or distributed must notify Agency in writing at “info@alacartetravelconcierge.com”, prior to the start of travel and/or prior to the making of the photograph and/or video, include a photograph of such person, and receive a written reply acknowledging the person’s request. The request is not valid unless/until Agency has replied.
Use of Website
You can use our website “https://alacartetravelconcierge.com/” to obtain information about us, our services, our team and travel opportunities.
Access to Our Website
Access to our website is permitted to you only on a temporary basis. We reserve the right to modify any content or functionality at any time, without notice. We will not be liable if for any reason our website is unavailable for any period, whether or not the unavailability was in our control. From time to time, we may restrict access to parts of our website, or our entire website.
